Employees and visitors sometimes forget to clock out when they leave for the day. NoahFace provides a number of capabilities, described below, that help you deal with this situation.
If you are using the NoahFace App with the Clock In/Out screen in Auto Mode, then when employees arrive to start their shift only the Clock In button will be enabled:
Similarly, when employees are ready to go home, the NoahFace App will display the time they have been working, and only the Clock Out button will be enabled:
This works great when employees clock in and out as they should, however, if an employee ever forgets to clock out, this creates an issue when they arrive to start their next shift. Instead of asking the employee to clock out, NoahFace times out the shift after a maximum shift length, displays a warning message, and enables the Clock In button:
You can configure your maximum shift length (in hours) by specifying the "max" option in your Screen Details (the default is 15 hours). For example:
Similarly, you can configure a fixed time of day to time out all shifts by specifying the "end" option in your Screen Details. For example:
You can simultaneously configure both time out options if needed:
The Automatic Clock Out feature of NoahFace allows you to automatically generate a "Clock Out" event when an employee or visitor forgets to clock out. That is, when they have been clocked in for more than a maximum number of hours (eg: 12 hours) and/or when they remain clocked in at a nominated time of day (eg: 11:30pm).
Automatic Clock Outs are generated by the NoahFace App (not the NoahFace Dashboard), so they are only supported if individual employees and visitors always clock in and out using the same iPad (ie: you do not have status sharing enabled). They are also not supported at all for employees that clock in and out on their phone using the NoahFace Go mobile App.
To enable Automatic Clock Outs, just add the "autoout" option to your Screen Details. For example:
Automatically generated "Clock Out" events have an identification method of "Automatic". You can also optionally specify the "outdetails" option (in your Screen Details) to add a fixed note to these events to make them easier to identify, and so that you can pass this note through to an integrated HR / payroll system.
Note: Automatic Clock Outs are available to all NoahFace customers on Advanced or Enterprise Plans.
Managers can monitor how long employees/visitors are clocked in using the NoahFace Go mobile App. Employees/visitors that have been clocked in longer than a configured number of hours are highlighted in red:
Managers can opt in to receive automatic push notifications:
Managers can then either initiate a phone call to an employee/visitor (by long pressing on their name in the list) or manually clock them out (by swiping left on their name in the list):
For managers to use the NoahFace Go mobile App, simply:
The manager has to then install the NoahFace Go mobile App and click on the registration link they received.
Note: Manager views within NoahFace Go are available to all NoahFace customers on Advanced or Enterprise Plans.
The Site Summary report in the NoahFace Dashboard can list all employees/visitors that are currently on site or all employees/visitors that have been on site for more than a configured number of hours:
You can schedule this report to be generated and emailed to you each day after all of your shifts have completed:
You should leave the Empty Report Notification switch turned off, so that you only receive a report if any employees/visitors have forgotten to clock off.
